These policies apply to all services provided by www.Ruby Roy.ca
Invoice/ Receipts: Detailed invoices will be sent by email for all services and tours, including the breakdown of taxes with taxes numbers, administration fees, banking, credit card fees and expenses
Payment Policy for Private Tours
A tour is considered confirmed once full payment has been received for the tour(s) and associated
expenses.
For last-minute bookings (less than 48 hours’ notice), payment must be made prior to the tour departure.
Accepted Payment Methods:
- Credit card via third party payment sites: (fees will apply) PayPal or Square (available on the website)
- Cheque (CAD and USD currencies accepted, sent in advance by courier or mail)
- e-Transfer (Interac within Canada only)
- International bank transfers (SWIFT)(fee will be applied)
Cancellation Fees for Tours
- 30 days or less: No refunds.
- 31 days or more: Refund available, minus banking, federal and provincial taxes, administrative, preparation, and planning fees etc
- Same-day cancellations or no-shows: No refund.
- Full refund minus banking and credit card fees if tour booked and cancelled in a 24 hour period of being booked
Exceptions: Refunds may be issued in cases of force majeure, or death, serious illness, war, terrorism, or natural
disasters (e.g., severe weather, earthquakes). Supporting documentation will be required to process these refunds.
Refunds will cover guiding services minus banking, credit card, and administrative fees. For tours costing over
$1,000.00 USD, non-recoverable out-of-pocket expenses (e.g., car rentals, admissions, entrance fees, reservations)
will also be deducted.
To inquire about specific costs incurred, email info@rubyroy.ca. Refunds will not cover incidental expenses such as visas, vaccinations, non-refundable flights, or loss of enjoyment.
If www. Ruby Roy.ca cancels the tour due to an emergency, injury, or illness, a full refund will be issued, or an
alternative guide may be arranged, subject to availability.
It is highly recommended that travellers purchase travel insurance. Please see with your provider what is covered. It is the travellers’ responsibility to purchase travel insurances
Reimbursement Policy
- Refund requests must be sent via email to info@rubyroy.ca.
- Refunds will be issued by cheque, money order, or e-Transfer (Canada only), regardless of the original payment method.
- Processing time for refunds may be between is 4 to 12 weeks.
Fees
- Fees are subject to change without notice.
- Services in languages other than English or requiring extensive research and preparation may incur additional charges, communicated in writing during the inquiry process. Banking, credit card, and payment site fees are the responsibility of the guest and will be clearly itemised on invoices.
Late Payment Fees
In the unlikely event of late payments.
- Payments are due within 30 days of invoice issuance for services already rendered.
- Late payments will incur a 20% weekly surcharge on the outstanding amount, excluding expenses and banking fees and taxes
- Non-payment or refusal to pay will result in additional legal fees added to the overdue amount.
Payment Policy for Other Services as indicated on the site:
- Services are confirmed upon receipt of a 50% , plus taxes, on-refundable deposit to cover preparation, communication, and planning. etc
- For last-minute bookings (7 to 30 days’ notice), full payment is required of professional fees, administration, banking, credit card fees and taxes.

- Credit card via PayPal or Square (available on the website) * fee will be incurred
- Cheque (CAD and USD currencies accepted)
- e-Transfer (Interac within Canada)
- International bank transfers (SWIFT)* fees will be incurred
- Payment methods through other 3 rd parties maybe included and indicated on the website at a later date and will be updated on the website
Cancellation Fees for Other Services
- 60 to 90 days: No refunds on the 50% deposit.
- 60 days or less: Full payment, including any expenses (e.g., flights), is required, including taxes
- Booking and cancellation within a 24 hour period, full refund including taxes, minus credit card fees and banking fees
