Cancellation and Reimbursement Policies

The following policies shall apply to any and all tour cancellations. Guest must submit cancellation in writing. Depending on dates when tour is canceled, a cancellation fee may apply. Travel Insurance is highly recommended to protect traveller from penalties assessed for canceling due to medical reasons. Please note that all tours, guiding fees and transportation must be paid in full a minimum of 15 days prior to the tour.

Payment Policy

  • A tour or service will be considered confirmed when a deposit of 50% is received.
  • Full balance of payment for services, expenses must be paid 30 days prior to first day of service.

Payments can be paid by:

  • Credit
  • Cheque (CAD and USD currencies accepted)
  • e-Transfer (Interac in Canada)
  • Swifts bank ttansfer

Cancellation Fees*

  • 30 days or more prior to departure  |  No penalty, no fees
  • 29- 7 days prior to tour  |  50% cancellation fees
  • 7 days or less  |  100%* of total (No refund)
  • If guests do not show, day of tour  |  100%* of total (No refund)

*Unless cancelled is due to an nature, death, serious illness, war or terrorism. Acts of nature include volcanoes, severe weather conditions, earthquake or natural disaster. In the event that guests cannot take the tour booked as a consequence of terrorism, war or acts of nature a refund for guiding services and transportation will be paid less a cancellation fee of $100 USD. If you have paid more than $1000 USD for your tour, a refund less any non-recoverable out-of-pocket costs incurred on your behalf – car rentals, admissions, hotel reservations, tickets etc. A written proof to confirm that you were unable to take your tour will be requested for a refund under this provision.

These upfront costs represent out of pocket expenses for tickets, transportation deposits and other tour expenses. Please send a message by email to find out what, if any, these costs are. In some cases, the suppliers may not charge depending circumstance. In the event that of Ruby, your professional tourist guide, cancels the tour, a full refund of all monies paid will be issued or an alternative guide may be offered to conduct tour. If you choose to accept a credit rather then have services of another guide, the difference in the cost of the alternative tour will be refunded or paid by you as applicable.

Ruby is not responsible for any incidental expenses you may have incurred as a result of the purchase of your tour such as visas, vaccinations, non-refundable flights or loss of enjoyment, etc.

Reimbursement Policy
All requests for refund must be sent by email to rroy@autoroute.net.

All refunds will be issued by cheque, money order regardless of the method of payment at the time of purchase. The lead-time for reimbursement is 4 to 6 weeks.

Fees
The fees are subject to changes without advanced notices. Any services in a language other then English are subject to additional fees. Any services requiring research hours, long preparations will also be subject to additional fees. These fees will be communicated to guests at time of inquiring of services in writing. Ruby’s services do not include banking fees, credit fees which are the responsibility of guests if applicable.

Late Payment Fees
In unlikely, event that fees are paid after services have been rendered. Payments will be due within 30 days of of date when invoice has been sent. All late payments will be subject to late payment fees of 5% per week of the total amount, including expenses , banking , credit card fees that may have occurred.

In the event of non payment, refusal to pay after services have been rendered, all legal fees will be added to the amount of late payments, fees and expenses required to retrieve funds.
